WorkFlex: Enhancing Work Management and Collaboration
Streamlining Hybrid and Remote Workspaces with Advanced Collaboration and Management Tools
WorkFlex is a mobile app designed to enhance hybrid and remote work environments by seamlessly integrating collaboration. It aims to address the challenges faced by modern work forces by providing tools that ensure productivity and flexibility.

Challenge:
The challenge was to design a highly functional and intuitive home screen for the WorkFlex mobile app, a product whose purpose is aimed at enhancing productivity and collaboration within hybrid and remote work environments.
Starting from scratch, the key was to create a gateway that not only met the diverse needs of remote workers but also encouraged continued engagement. This required our team to consider how we might design a home screen that was engaging to users and provided quick access to essential tools needed to support productivity and collaboration withing a hybrid work environment.
Initial Research
Our process began with identifying the key 'Jobs to Be Done' through competitor analysis and user interviews. This phase was crucial for establishing a clear direction for the features and functionalities that would be most beneficial on the home screen.
Competitor Analysis
The competitive analysis identified the most desired features for the WorkFlex app by examining leading platforms - Microsoft Teams, Slack, and Zoom. During user interviews, participants were asked about the features they valued most in these applications. The insights revealed that users highly appreciated file sharing, messaging, video conferencing, and notification features. These insights played a crucial role in determining the features to include on the WorkFlex home screen.




Design and Prototyping
We then moved into a rapid prototyping phase, utilizing a Design Sprint methodology. This allowed us to quickly iterate on ideas and build a series of prototypes that varied in complexity and focus. Each prototype aimed to address the core functionalities identified during our research
User Testing and Iteration
Subsequent user testing sessions provided clear feedback on the usability and effectiveness of the prototype. This feedback highlighted specific areas where the design did not fully meet user expectations or where confusion arose. We iteratively refined our designs based on this feedback, focusing on simplifying navigation and improving accessibility.
Iteration 1
The home screen’s first iteration was cluttered and inefficient. It featured a carousel for quick access to various in-app portals and a Workspace Hub with calendar, virtual office, scheduling, and task management access. This design aimed to provide quick access but was ultimately underwhelming to users.
User Feedback: (1) "I think you could use the space to surface actual data from around the app that users could interact with. e.g. what’s the next event from the calendar, and/or what the next most important tasks are".(2)” It feels like calendar and scheduling features should be consolidated under ‘task management’”
Improvement: We used this feedback to improve the home screen by including actual data from around the app that users would actually benefit from having immediate access to. Such, we redesigned it to ensure that users could view and interact with up to four recent projects. Additionally we used the insights gained from user testing to combine the calendar and scheduling feature under the Task Management card, as the two were intimately connected.
User Feedback:
"The tab bar is the most easily reachable navigation tool as it’s at the bottom of the page, so this should contain links to the most useful parts of the app that users will need to access the most often."
"Does “Settings” need a space down here? How often would someone need to access this?"
Improvement: We revised the toolbar to include the 'messages', 'calendar', and 'projects' icons. These, according to user feedback, were the icons that users would use the most and be the most beneficial to them. Our hope was that by streamlining the navigation bar with frequently used icons, we could improves access to essential features, enhancing overall app usability.
Final Design
The final design features a clean and user-friendly interface that prioritizes key functionalities such as task management and team collaboration tools. The carousel was replaced with Quick Links, providing faster and more intuitive access to key features, thereby improving overall user navigation and experience. Moving the Teams card to the home screen enhanced visibility and quick access, boosting team collaboration and communication efficiency.
Multiple access points for the Projects screen were added to ensure users can easily view project statuses from anywhere, improving project tracking. Consolidating calendar, scheduling, and task management features into one Task Management card streamlined access, simplifying user interactions and enhancing productivity. The Virtual Office card now brings meeting options to the forefront, reducing clicks and improving efficiency for accessing virtual meeting features. Lastly, the navigation bar was streamlined with frequently used icons, improving access to essential features and enhancing overall app usability.

What I Learned:
From this project, I gained deeper insights into iterative design, the importance of user feedback, and how to streamline complex workflows. Emphasizing user-centered design significantly enhances usability and overall user satisfaction.
